Privacy Policy

What this notice covers

This notice covers cogservices.uk and people who contact us about our own services, for example through the contact form or by email. If we contacted you, or you responded to us, as part of a campaign we run for a client, a separate Campaign Privacy Notice applies instead.

Who we are

COG Services Limited is the data controller for the information covered by this notice. Registered in England and Wales, company number 10067875, VAT number GB485202984. Our role

COG is an independent data controller. That is true for enquiries about our own services, and for the campaigns we run for clients: we decide how and why the data is used, so we act as a controller in our own right, not as a processor on another organisation's instructions. Where we pass a lead to a client, that client is also an independent controller and is responsible for what it does with the data under its own privacy information.

What we collect

When you use the contact form we collect your name, business name, email address, your phone number if you give it, and the message you send.

Whether you have to provide it

To reply we need your email address and your message. Your name helps us reply properly. Business name and phone number are optional.

Why we use it and our lawful basis

We use these details only to read and reply to your enquiry. Our lawful basis is legitimate interests. Our interest is dealing with enquiries from businesses interested in our services and running our business day to day. We have weighed this against your interests and rights in a legitimate interests assessment, which we keep on file.

The note on the form

A short line under the contact form's send button tells you we will only use your details to reply, and links to this notice. It is there to inform you when you get in touch. It is not a consent step, because our basis for processing your enquiry is legitimate interests, as set out above.

Replying is not marketing

Replying to your enquiry is not the same as marketing. We will not add you to a newsletter or send you marketing because you used this form.

Where it goes

Your enquiry is emailed to us and saved in a private spreadsheet we keep in Microsoft to track enquiries. A small number of providers help us do this and act as our processors, handling the data only on our instructions: Resend sends the notification email, Microsoft hosts the shared mailbox that receives it and holds the enquiries spreadsheet, and Vercel hosts the website. We do not sell your data or share it for marketing.

Technical data collected automatically

Our host, Vercel, keeps standard server logs for every page view. These include your IP address, your browser and device details (the user agent), the page requested and the time. We use this to keep the site running, secure and free from abuse. The lawful basis is legitimate interests. We are on Vercel's Hobby plan, on which these runtime logs are retained only briefly before being discarded.

Sending data outside the UK

Some of the providers above are based outside the UK, so your data may be processed abroad. For each of these transfers we rely on Standard Contractual Clauses with the UK Addendum, which is a recognised safeguard in its own right:

  • Resend, which sends the email, processes it in the United States.
  • Microsoft, which hosts the mailbox that receives the email and holds the enquiries spreadsheet. Any transfer outside the UK is covered by the same clauses.
  • Vercel, which hosts the website, processes primarily in the United States.

How long we keep it

We keep website enquiries for 24 months from our last contact with you, then delete them. If we go on to work together, your details become part of our records as an independent controller and are kept for as long as needed for that working relationship.

Your rights

Depending on the circumstances and our lawful basis, you have the right to ask for a copy of your data (access), ask us to correct it (rectification), ask us to delete it (erasure), ask us to restrict how we use it (restriction), and object to our use of it (objection). Where we rely on consent for anything, you can withdraw it. Data portability applies where processing is based on consent or a contract, so it may not apply to this enquiry. These rights are not absolute and depend on the situation. To exercise any of them, email hello@cogservices.uk.

Your right to object

Because we rely on legitimate interests, you can object to our use of your data at any time. If you do, we will stop unless we have compelling grounds to continue that override your interests.

Automated decisions

We do not use website enquiries to make solely automated decisions that have legal or similarly significant effects on you.

How we protect it

We use appropriate technical and organisational measures to protect your information. No method of sending information over the internet is completely secure, so we cannot promise absolute security.

Complaints

If you are not happy with how we handle your data you can complain to the ICO at ico.org.uk.

Changes to this notice

We may update this notice from time to time. The latest revision date is shown at the top.

Cookie Policy

This site uses no analytics or advertising cookies and does no tracking, so there is no cookie banner.

We checked the deployed site, not just the code. On cogservices.uk the pages set no cookies and use no local or session storage, and the site loads no analytics or tracking, so there are no cookies to list.

If we ever add analytics or an advertising tool such as the Meta Pixel, it must not load before you have given consent. We would add a consent banner and update this notice first.
